These Terms & Conditions govern your reservations, attendance, package purchases, and studio etiquette at Louise Pilates Studio. By booking a session or purchasing a package, you agree to the following terms.
Effective Date: September 2026 • Louise Pilates Studio
1. Studio Etiquette & Small Class Policy
To provide personalized instruction, posture alignment, and an intimate, focused sanctuary, our group Reformer sessions are capped at a maximum of 4 participants per class.
- Punctuality: Please arrive at least 10 minutes prior to your scheduled session. Warm-ups and reformer machine adjustments are crucial to ensure safe practice.
- Late Arrivals: For safety reasons and out of courtesy to other clients, arrivals more than 10 minutes past start time may not be permitted to enter, and the session will be forfeited.
- Sanctuary Atmosphere: Please silence mobile phones and personal devices before entering the Reformer room to maintain a peaceful environment.
2. Online Booking & 5-Minute Slot Hold
Our schedule displays real-time slot availability. When you select a class and proceed to payment, an atomic 5-minute (300-second) hold is placed on the slot:
- During this 5-minute hold, the slot is locked to prevent double-booking by other clients.
- You must complete your details and submit your payment proof before the countdown timer expires.
- If the timer expires before completion, the slot automatically releases back to the public schedule.
3. Payment & Manual Verification
All online payments are completed via direct bank transfer to our official studio bank account (BCA):
- Authentic Proof Required: You must upload an authentic screenshot or receipt of your bank transfer showing date, transfer amount, and destination account.
- Verification: Upon submission, bookings remain in
Pending Verificationstatus until confirmed by a studio administrator during business hours. - Confirmation: Once approved, an official booking confirmation is delivered via WhatsApp/email, and the booking status updates to
Confirmed.
4. Class Packages & Validity Periods
Louise Pilates offers single session Drop-Ins and multi-session package bundles with the following policies:
- Validity Commencement: Your package validity period (15 days or 30 days) begins on the date of your first attended class, not on the date of purchase.
- Non-Transferable: Packages are strictly personal and cannot be shared or transferred to other individuals.
- No Automatic Rollovers: Expired sessions cannot be extended unless supported by a valid medical certificate submitted prior to expiration.
- Deferred Session Deduction: Package quotas are only deducted after a session is officially verified and confirmed by the studio admin.
5. Reschedule & Cancellation Policy
Because class sizes are strictly limited to 4 reformers, late cancellations directly affect other clients:
24-Hour Notice Rule: Rescheduling requests must be sent via WhatsApp at least 24 hours prior to the scheduled class time. Reschedules requested with more than 24 hours notice retain full session credit. Cancellations made within 24 hours or no-shows will forfeit the session credit.
- No Online Self-Cancellation: Cancellations cannot be processed unilaterally on the website; please contact the studio admin via WhatsApp.
- Non-Refundable: All session fees and package purchases are non-refundable in cash.
6. Grip Socks & Attire Requirement
For hygiene, reformer footbar stability, and injury prevention, Grip Socks with non-slip rubber soles are strictly mandatory for all participants:
- Participants without grip socks will not be allowed on the reformer equipment.
- Studio grip socks are available for purchase at the studio front desk before class.
- Form-fitting activewear without zippers or sharp metallic accessories is required to protect reformer upholstery and allow instructors to observe posture.
7. Health, Safety & Liability Waiver
Pilates involves physical movement against spring-loaded resistance equipment:
- Medical Conditions: You must disclose any physical injuries, surgeries, spinal issues, or pregnancy to your instructor prior to class.
- Prenatal Clients: Expecting mothers must receive written medical clearance from their physician before participating in group reformer classes.
- Assumption of Risk: Clients participate at their own risk and agree to follow all instructor guidance and machine safety protocols.
